This policy explains what personal data Proxus collects through this website and our services, why we process it, how long we keep it, and the rights you can exercise over it.

Information we collect

We collect information you provide directly to us:

Contact information: Name, work email, company, role and your message when you contact us or request a demo
Account information: When you create an account on the Proxus portal (portal.proxus.io): your name, email address, a one-way hash of your password or the Google or Microsoft account you sign in with, your language and your marketing choice
Licence records: For each licence you take on the portal: the License ID of the installation, the licence type, its dates and its key; for each signed-in session, its IP address and browser
Usage data: Information about how you interact with our website and services
Technical data: IP address, browser type, device information and cookies

How we use your information

To provide, maintain and improve our services
To respond to your enquiries and provide customer support
To send technical notices, updates and administrative messages
To send marketing communications, where you have consented
To detect, prevent and address technical issues and security threats
To comply with legal obligations

Marketing emails (product news, event invitations) go only to people who tick the separate, optional box on one of our forms or in the Proxus portal. The box is never ticked in advance, and answering your request does not depend on it. We record when you gave consent. You can withdraw it at any time with the unsubscribe link in every such email, under Account settings in the portal, or by writing to us.

Data retention

We retain personal data only as long as necessary for the purposes it was collected for, including to satisfy legal, accounting or reporting requirements. The retention period depends on the type of data and the purpose of processing. When data is no longer needed, we securely delete or anonymise it.

A portal account is kept until you delete it. A signed-in session ends after 14 days without use. When you delete your account, we delete your name, email address and sessions at once. The record that a License ID has had its trial stays, without your name, your company or the licence key, so that the trial cannot be taken again for the same installation.

Your rights

Under GDPR and KVKK you have the following rights over your personal data:

Rectification: Request correction of inaccurate data
Erasure: Request deletion of your data
Restrict processing: Request limitation of processing
Data portability: Receive your data in a structured, machine-readable format
Object: Object to processing based on legitimate interests
Withdraw consent: Withdraw consent at any time

You can correct your name and delete your portal account yourself, under Account on the portal. To exercise any of the other rights, contact us.

Data security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction. This includes encryption, access controls and regular security assessments.

We do not sell personal data or share it for advertising.

International data transfers

The providers listed in section 08 are based outside Türkiye and the European Economic Area, so your data may be transferred to and processed in other countries. When we transfer data internationally, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "last updated" date. We encourage you to review it periodically.
